About your role
We are looking for an Assistant Finance Manager to own the quality, accuracy, and timeliness of our finance function’s output. This is a hands-on role encompassing financial close ownership, reporting, compliance coordination, and team management, with direct oversight of a Finance & Operations Executive responsible for day-to-day transaction processing.
Our bookkeeping, GST submissions, and statutory filings are managed by external vendors. This role serves as the internal anchor and quality gate: preparing clean inputs for those vendors, reviewing and verifying their output, owning recurring finance cycles, and producing well-sourced, clearly documented reporting. The role demands a consistently high standard for accuracy, data quality, and thoroughness — both in your own work and in the output of those you oversee.
The Assistant Finance Manager acts as the Finance Lead’s delegate for day-to-day finance decisions within established policies and frameworks. When the Finance Lead is engaged in strategic, commercial, or fundraising priorities, this role ensures the finance function continues to operate without disruption. The position requires both process and outcome ownership — you will be hands-on in execution while maintaining accountability for the standards, accuracy, and completeness of all finance outputs.
Responsibilities
Financial Close & Bookkeeping Oversight
- Own the end-to-end monthly financial close across SG (Xero) and US (QuickBooks) entities, including input preparation, external bookkeeper coordination, output review, and consolidated reporting.
- Ensure all journal entries, accruals, prepayments, deferrals, and intercompany eliminations are correctly posted or flagged before books are finalized.
- Own the deferred revenue schedule, ensuring subscription, milestone-based hardware, and services revenue are recognized in the correct periods.
- Maintain detailed supporting schedules with full transaction context (purpose, approval, category, supporting documentation) to support analysis and verification of external bookkeeper output.
- Own or review all bank reconciliations, corporate card reconciliations (Aspire, Brex), and payroll reconciliations monthly.
Financial Reporting & FP&A Data
- Own all historical financial reporting — formal financial statements, management accounts, and internal FP&A reports — ensuring all outputs are well-sourced with clearly documented workings.
- Prepare monthly management reports (P&L, balance sheet, cash flow) and drive budget vs. actuals reporting, surfacing variances with explanations.
- Gather, clean, and organize the underlying FP&A data that feeds into the Finance Lead’s financial forecasts, models, and investor reporting packages.
- Support the Finance Lead in the execution of the annual budgeting process, including consolidation of departmental inputs and preparation of supporting schedules.
- Track and report on key financial metrics (burn rate, runway, revenue by customer/product, gross margin by project) as defined by the Finance Lead. Maintain current cash position data across all bank and payment accounts and update the cash flow forecast model on a monthly basis.
Tax, Compliance & Regulatory
- Own the quarterly GST submission cycle and annual corporate tax filing cycle end-to-end — prepare inputs, coordinate with external vendors, review output, and ensure timely filing.
- Track all regulatory deadlines (GST, corporate tax, ACRA annual return, US state/federal filings) and drive completion proactively.
- Process and manage grant claims — prepare documentation, track milestones, coordinate with grant bodies, and ensure timely submission.
- Own insurance renewal cycles end-to-end. Maintain audit-ready documentation across all financial systems.
- Own external audit coordination when required, serving as the primary internal point of contact for auditors.
- Coordinate 409A valuations and support ESOP administration, including vesting schedule tracking, grant documentation, and equity-related reporting.
Accounts Payable, Receivable & Spend Management
- Process and execute budget requests alongside the Finance & Operations Executive — validate completeness, draft POs, and schedule payments within a tiered approval framework.
- Create and manage budgets within Aspire (SG) and Brex (US), including card issuance, limit setting, and budget adjustments.
- Oversee the Executive’s AR execution — ensure invoices are issued on contractual milestones and collections are progressing on cadence. Own the AR aging review and escalate overdue accounts with a recommendation.
- Review revenue recognition treatment on complex deals involving bundled hardware, software, services, and subscriptions.
- Oversee COGS allocation to customer projects, maintain or review the fixed asset register, and reconcile inventory movements against financial records.
Team Management & Vendor Oversight
- Directly manage the Finance & Operations Executive — set priorities, review output, and provide guidance on judgment calls.
- Serve as the primary relationship owner for the external bookkeeper, GST vendor, and tax agent, ensuring vendor output consistently meets required standards.
- Develop and maintain SOPs for recurring finance cycles and establish appropriate internal financial controls.
- Run AI automations built by the Finance Lead and AI strategy team — execute workflows, monitor for errors, and flag issues or breakdowns with context.
Requirements:
- 5–8 years of experience in finance, accounting operations, or financial reporting.
- At least 1 year owning the full set of accounts for a company — not a single workstream within a larger team.
- Diploma or degree in Accounting, Finance, Business, or a related field.
- Professional qualification (ACA, ACCA, CPA, CIMA, or similar).
- Hands-on experience with monthly close, bank reconciliations, AP/AR, and management reporting.
- Strong understanding of accrual accounting, deferred revenue, and revenue recognition, particularly for project-based or subscription businesses.
- Experience working with external bookkeepers or accountants as the internal quality gate.
- Experience managing or supervising at least one direct report.
- Comfortable operating across multiple entities and currencies.
- Strong written and verbal communication skills in English.
- Based in Malaysia, available during Singapore business hours (SGT).
Good to Have:
- Hands-on experience with Xero and/or QuickBooks.
- Prior experience in a startup or scale-up environment.
- Familiarity with Aspire, Brex, or similar spend management platforms.
- Experience with ESOP administration, Carta, or 409A processes.
- Exposure to grant claims, GST, or Singapore corporate tax.
- Experience preparing materials for investor reporting or fundraising due diligence.
- Exposure to multi-element revenue recognition or hardware/software bundled sales.
